We are seeking a part-time Assistant Property Manager to support the day-to-day operations of a multi-county property management team.

The Assistant Property Manager is responsible for assisting the Property Manager in maintaining all aspects of property operations.

We are seeking someone who can perform all activities related to customer service and resident retention in order to achieve the company’s occupancy, resident quality, and customer service expectations. The right candidate should enjoy providing superior customer service to residents, prospects, vendors, and fellow team members.

This position has a regular schedule that at times may include evenings, nights, and weekends. Physical requirements include sitting for long periods and at times required to walk to show units, climbing stairs, and moving about including stooping, bending, and other physical requirements as detailed in the job description.

Duties & Responsibilities include:

  • Completes the daily transactions and tasks related to the financial operation of the community by collecting and posting dues, and other payments, and processing invoices and payables.
  • Reviews resident files and accounting records to determine unpaid and/or late fees owed communicates with residents regarding outstanding balances, implements procedures for collecting on delinquencies.
  • Reviews and submits invoices from vendors, contractors, and service providers for payment by reconciling work performed or products purchased, obtaining Community Manager approval, coding charges to appropriate Chart of Account codes, and managing communication between the vendor/contractor and accounting.
  • Processes resident move-outs by applying appropriate fees and deposits.
  • Promotes resident satisfaction by responding to complaints, questions, and requests in a timely manner, and takes appropriate action to resolve and address service issues in accordance with established procedures.
  • Acts as the on-site supervisor in the absence of the Community Manager by organizing and delegating daily work, coordinating maintenance and make-ready tasks with the Service Supervisor, and managing the operation of the community in compliance with company policies, procedures, and business practices.
  • Assists in managing the owner relationships by meeting with the owners, conducting community tours, providing updates and information about the community’s performance, and responding to owners’ requests.
  • Assists and supports the Community Association Manager in all administrative tasks such as maintaining and updating the leasing list, and resident databases, and processing violation notices and delinquency letters.

Qualities Desired In Successful Candidate:

  • High school education or equivalent is required.
  • One year minimum experience in residential property management is required.
  • Customer-focused approach

  • Maintain a professional, courteous manner with all residents, vendors, contractors, team members and Property Manager at all times.
  • Possess dynamic attitude, superior customer service, verbal communication, written communication and follow up skills.
  • Excellent interpersonal skills, attention to detail and strong organizational skills, especially in a fast-paced, deadline-oriented environment.
  • Ability to organize and prioritize numerous tasks and complete them under time constraints.
  • Proficient in MS Office.
  • Ability to work 40 hours and must be available for overtime and weekends as needed.
  • Must be able to read, write, speak and understand the English language.
  • Ability to speak Spanish a plus, but not required.
  • Valid driver's license and current automobile insurance are required; position requires own vehicle to fulfill all of the job's functions.
  • Must be able to pass drug screening and criminal background check.
